2. Collected data

2.1 General collection

The web pages of WeAct AG collect a series of general data each time they are visited. This general data and information is stored in the server’s log files. The following data is collected:

  • Date and time of the visit
  • Time zone difference to GMT time zone
  • Content of the request
  • Access status/http status code
  • Amount of data transferred
  • Internet page from which the request originated
  • Browser (incl. language and version)
  • Operating system

When using this general data, no allocation to a specific person takes place. The collection of this data is customary and technically necessary in order to display our websites to you and to ensure their stability and security.

The personal and company-related data that we process about you also includes all information about personal or factual circumstances that we receive from you in the course of processing our services and that can be directly or indirectly assigned to you. This includes, for example, your full name, company, gender, postal address, address coordinates, telephone number(s) and e-mail address.

2.2 Contact form

Our websites contain a contact form that can be used to contact us. The transmission of the data entered in the contact form is encrypted (SSL encryption). The data entered in the contact form is stored for the purpose of processing or contacting the person making contact. This data is not transmitted to third parties.

2.3 We Act Challenge and other events

If you wish to participate in a WeAct programme or event (WeAct Challenge), you are required to provide certain personal information that we need to process your participation. Mandatory information required for participation is marked separately, other information is voluntary. We process the data you provide for the purpose of processing your participation. We will not pass on your participation data to third parties without your express consent. This does not apply to the transmission of data to order processors (e.g. for payment processing or processing of the dispatch of prizes won by the provider of the prize to the respective participant), who are not permitted to process this data for their own purposes and are obliged to handle it confidentially and securely.

When you participate in a WeAct Challenge or, as a rule, in other events organised by us, a participant account is created for you. Under „My account“, the data you have provided will be stored revocably.

After the conclusion of the event organised by us, the data deposited by you within the framework of your participant account will, apart from mere storage, neither be processed by us nor used in any other way. We store this data, in particular also for the purpose of enabling you to reuse the participant account and the data stored therein in the event of renewed participation. However, at your request (e.g. by e-mail to the e-mail address given in section 1 of this declaration), we will delete or anonymise your participant account and the data stored in it at any time so that it is no longer possible to relate it to you.

2.4 Retention period

Except as provided by law or otherwise in this Privacy Policy, your personal data will only be retained for as long as is necessary to fulfil the purpose for which it was collected.

3. Cookies

Our website uses so-called cookies, which are small text files that are stored on your computer and can be retrieved there. Cookies are used to enable you to register for our services and to personalise the website for you. For this purpose, our website is supported by cookies that collect information about your IP address, the time and duration of your visit, the number of your visits, form usage, your search settings, your display view, your settings for favourites on our website. The length of time cookies are stored varies. We log every access to our website and every retrieval of a file stored on the website.

You can prevent the setting of cookies by our website at any time by means of a corresponding setting of the Internet browser used and thus permanently object to the setting of cookies. Furthermore, cookies that have already been set can be deleted at any time using an internet browser or other software programmes. This is possible in all common Internet browsers. 4. Web tracking

Our websites use web tracking services, which – usually through the use of cookies – enable an analysis of the use of the websites. It is possible that the information collected in the process (including your IP address) is transmitted to servers of the providers of web tracking services abroad, possibly also to countries with inadequate data protection.

Our websites use, among others, Google Analytics, a web analytics service provided by Google, Inc. („Google“). Google Analytics uses cookies that enable an analysis of the use of the website. The information generated by the cookie about your use of the website (including your IP address) will be transmitted to and stored by Google on servers in the United States. Google will use this information for the purpose of evaluating your use of the website, compiling reports on website activity and providing other services relating to website activity and internet usage. Google may transfer this information to third parties where required to do so by law, or where such third parties process the information on Google’s behalf. Google will not associate your IP address with any other data held by Google.

5. Social Media Plug-ins

We currently use the social media plug-ins listed in the following table. We generally use the so-called two-click solution, whereby no personal data is passed on to the providers of the plug-ins when you visit our website. Only when you click on the marked plug-in field and thereby activate it, does the plug-in provider receive the information that you have accessed our website. In addition, the data mentioned under point 2 of this declaration is transmitted. The plug-in provider stores the data collected about you as a usage profile and uses it for the purposes of advertising, market research and/or designing its website to meet your needs. The Facebook plug-in is an exception: it allows visitors to our websites to see which of their Facebook friends have already marked the WeAct Facebook page with „like“.

We have no influence on the data collected and data processing procedures of the plug-in providers. These are subject to the respective data protection declarations of the plug-in providers. 6. Google AdWords

Our websites use the „Google AdWords“ service from Google. In particular, we use the remarketing function of Google Adwords. With the remarketing function, we can present you with advertisements based on your interests on other websites within the Google display network. For this purpose, your interaction with our websites is analysed, e.g. which offers you were interested in, in order to be able to show you targeted advertising on other websites even after you have visited our websites. For this purpose, Google stores a number in your browser in the form of cookies. Your visits are recorded via these cookies. You may refuse the use of cookies by selecting the appropriate settings on your browser, however please note that if you do this you may not be able to use the full functionality of our website. 7. Google Maps

We use a plug-in „Google Maps“ from Google on our website, on which you can find the location of the WeAct office. By using Google Maps on our website, information about the use of this website (incl. IP address) is transmitted to a Google server in the USA and also stored on this server. We have no knowledge of the exact content of the transmitted data, nor of its use by Google. Google may transfer this information to third parties where required to do so by law, or where such third parties process the information on Google’s behalf. Google will not associate your IP address with any other data held by Google. If you deactivate Javascript in your browser, you will prevent Google Maps from running. However, you will then not be able to use the map display on our website. By using Google Maps, you consent to the collection and processing of information by Google as described above. 8. Newsletter

With your consent, you can subscribe to our newsletter, with which we inform you about our current interesting offers. We use the so-called double-opt-in procedure to register for our newsletter. This means that after your registration we will send you an e-mail to the e-mail address you have given us, in which we ask you to confirm that you wish to receive the newsletter. The only mandatory information for sending the newsletter is your e-mail address, which we store after your registration. You can revoke your consent to the sending of the newsletter at any time and thus unsubscribe from the newsletter. You can declare the revocation by clicking on the link provided in every newsletter e-mail or by sending an e-mail to the e-mail address stated in section 1.

9. Use of data

We use your personal and company-related data exclusively in compliance with the legal requirements. We collect and process the personal and company-related data that you provide to us primarily in the context of fulfilling our contractual obligations to you, or in connection with the handling of events organised by us, such as a WeAct Challenge. If you do not provide us with this data, we will not be able to conclude a contract with you or allow you to participate in one of our events. Furthermore, we use your data if there is a legal obligation to do so.

10. Aggregation and data transfer to third parties

We use certain processors to process our services, to communicate with you and to manage our online presence. We ensure that we select these processors carefully to ensure lawful and secure data processing. In addition, we have obliged the processors to use your personal and company-related data only in accordance with our documented instructions, for the intended purpose and in compliance with Swiss data protection regulations. Any further use of the data by these processors is excluded.

Finally, we may analyse and store your personal data in anonymised form for research purposes or for measuring impact for the attention of the commissioning organisation. This means that no conclusions can be drawn about you personally from the aggregated data.

11. Your rights

You have the following rights with respect to us regarding personal data relating to you:

  • Right to complain to a data protection supervisory authority about the processing of your personal data by us.

12. Data security

To protect your data, we use, among other things, encryption during data transmission and have implemented numerous technical and organisational measures to ensure the most complete protection possible for the personal data processed via our websites.

In addition, the server through which the WeAct platform is operated is located in Switzerland. All data that you transmit to the WeAct platform in the course of a WeAct Challenge or another event organised by us is therefore stored in Switzerland.
